1. Map the current process
Document how admissions, student records, attendance, fees, examinations, staff and parent communication are handled today. Note which spreadsheets are authoritative, who maintains them, and where the same data is entered more than once.
2. Decide what must be migrated
Not every historical file needs to become live operational data. Prioritize current students, current staff, academic structure, active fee plans and other information required for the upcoming academic cycle.
Old paper records or inconsistent spreadsheets may be better retained as archives unless they have clear operational value.
3. Prepare data in structured templates
Standard import templates make it easier to identify missing fields, duplicate records and inconsistent formats before data enters the new system. The school should nominate an implementation coordinator who can clarify uncertain records.
4. Configure before importing
Academic years, classes, sections, subjects, departments, roles, fee types and school settings should be configured before large imports. This ensures imported data maps to the correct structure.
5. Validate critical data
After import, verify sample records and totals. Check student counts by class and section, staff records, fee amounts, parent mappings and any other data that management considers critical.
6. Train role by role
Management, administrators, teachers and other staff should learn only the workflows they need. Role-specific training is easier to absorb than a single session covering the entire platform.
7. Use a controlled go-live
A pilot or temporary parallel run can reduce anxiety. Once the school confirms readiness, agreed workflows can move fully to the new platform while the old process is retained only as a backup for an appropriate transition period.
